According to the regulations, e-invoices should meet 3 requirements: they must have authenticity of origin, legibility and integrity of content. Authenticity means certainty about the issuer of the invoice and the service/product provider. By the integrity of the content, the legislator means that it is impossible for the issuer and the recipient to change the content of the invoice.

Although even a paper document, scanned and e-mailed, is considered to be an electronic invoice, in the majority of cases traders use special software for invoicing, which is widely available on the Internet. These programs have very extensive functions, thanks to which online invoicing is fast and, through automation of procedures and fixed templates, allows you to minimize the number of mistakes made. The entrepreneur can choose a program that is typically used for invoicing, or a more extensive option. Online invoicing is usually part of online accounting programs. Once the access is purchased, it is possible to use not only the option of invoicing, but also recording revenues, expenses, warehouse management or HR and payroll settlements.

Issuing invoices in the network brings many benefits for the entrepreneur and his contractors. First of all, it eliminates the need to use the services of Poczta Polska, which sometimes operates very slowly, which exposes entrepreneurs to the risk of losing financial liquidity - contractors cannot pay an invoice that they did not receive. Online invoices sent via e-mail reach the contractors within a few minutes of their sending, which in many cases significantly reduces the time of waiting for payment and provides both parties of the transaction with the possibility of timely inclusion of the revenue/cost in tax books. Invoices issued online in accounting programs are also automatically booked and recorded in appropriate registers, which significantly simplifies the work of the company and the accounting department.
